TERMS AND CONDITIONS — RUGBYNOMAD TOURS

1. Services ProvidedRUGBYNOMAD TOURS offers a range of travel services including:

• Guided tours
  
• Group tour coordination
  
• Travel planning and consultation
  
• Accommodation booking
  
• Ground transportation arrangement
  

By booking with us, you agree to the terms outlined below.

2. Booking & Payment Terms

• A non-refundable deposit is required at the time of booking to secure your place. This deposit covers administrative costs and early vendor commitments.
  
• Full payment is due no later than the date specified in your tour details (typically 60 days before departure).
  
• Payments are accepted via our booking platform (YouLi) and processed securely through Stripe.
  
• Failure to make full payment by the deadline may result in cancellation without refund of the deposit.
  

3. Deposit Policy

• Deposits are non-refundable under normal circumstances.
  
• If you cancel more than 60 days before the tour, your deposit may be transferred one time to a future RUGBYNOMAD TOURS trip (subject to availability).
  
• Deposits may be recoverable through travel insurance if cancellation is due to covered reasons.
  
• In rare force majeure cases (see Section 8), we’ll work with you to find a fair solution.
  

4. Cancellation & Refund PolicyIf You Cancel:

• Cancellation must be in writing to [email protected]
  
• Refunds on remaining balances (excluding deposit):
  
  • 75% if cancelled more than 60 days before departure
    
  • 50% if cancelled 30–60 days before
    
  • No refund within 30 days of departure
    

If We Cancel:

• Full refund including deposit
  
• We are not responsible for airfare, visas, vaccinations, or personal equipment expenses
  

5. Traveler Responsibilities

• Ensure your passport, visas, and documents are valid
  
• Travel insurance is strongly recommended
  
• Inform us of any medical issues
  
• Comply with local laws and customs
  
• Be physically able to participate
  

6. Participant ConductWe reserve the right to remove anyone from the tour (without refund) for:

• Disruptive or unsafe behavior
  
• Harassment of others
  
• Violating local laws
  
• Endangering the group
  

7. Photo & Media ConsentBy participating, you consent to being photographed/filmed by staff or others for:

• Marketing
  
• Website and social media
  
• Internal documentation
  If you don’t wish to appear, notify us in writing before the tour.
  

8. Force MajeureWe’re not liable for disruptions due to:

• Natural disasters, pandemics, political unrest
  
• Airline or weather delays
  
• Government bans/restrictions
  We’ll attempt to reschedule or credit toward a future trip.
  

9. Liability DisclaimerWe are not liable for:

• Injury, illness, death
  
• Loss or damage to property
  
• Vendor or service failures
  
• Events beyond our control
  Travel is at your own risk—get insurance.
  

10. Changes to ItineraryWe may adjust plans (accommodation, schedules, routes) for safety, logistics, or availability. We’ll notify you as soon as possible.

11. Governing LawThese terms follow U.S. law. Disputes fall under the jurisdiction where RUGBYNOMAD TOURS operates.

13. Minimum Group Size & Tour Viability

• Each tour requires a minimum number of participants
  
• If not met, we may cancel the tour up to 30 days prior
  
• Full refund will be provided if we cancel
  
• We’re not responsible for costs outside the tour (airfare, insurance, visas)
  
• Book refundable flights and obtain travel insurance
